Need suggestions for email solution

Hi, I need software that will help in email management, any suggestions?

    Hi. I want to clarify this question. I am assuming that you have an email system for simplicity a web email system, say Gmail*.

     

    I am making an assumption that you are from a company and have your own simple email system and asking this question. If it is for your personal usage, some portions of the answer apply but that is another question.

     

    If you look at larger email systems, host of features provide very sophisticated management that involves hosting a server, storage and backup. I am assuming that to start with you do not want to go that far.

     

    Please write back if any of the above assumptions are wrong.

     

    When you say management, you may want to do the following as a starter.

     

    1. Classify and store your emails – focus on consumer
      • Based on who sent them (all emails from your boss)
      • Based on a specific subject (all emails pertaining to a product)
      • Based on a customer (say all emails from top customer)
    2. Prioritize emails that need attention at different levels. It means classifying email
      • That need immediate attention and reply
      • Those that are “For your information only” emails
      • Those that need to be read and replied later, not urgent
      • Emails that would be deleted.
    3. A storage system that addresses your long term email storage issue that does not get deleted by somebody else like web site administrators.
    4. Managing your contacts
    5. You can use folders and tags to start classifying

     

    There are many Solutions in two categories starting from within the company hosted email solutions to web hosted solutions. However, due to internet becoming more accesible, best to go for a web development company's hosted email with your own domain name etc. else standard email packages from large internet companies also help

    Further to using mail clients such as outlook  , you still can use additional tools which will enhance your email productvity. One such tool is Xobni which is very tightly integrated with Microsoft Outlook.

     

    Xobni (inbox spelled backward) is a free add-on, for Microsoft Outlook. The reason behind the name: This useful tool allows you to look at your e-mail inbox from a whole new perspective. The add-on improves management of messages and contacts, one of Outlook's biggest shortcomings. It provides functionality that Outlook should deliver natively, and does so without affecting the e-mail client's performance.

    Your contact profiles show (with a photo, if you have one) in the top of the Xobni pane; the application also displays each contact's phone number, which it extracts (with what proved to be amazing accuracy, in my tests) from e-mail messages. Below each contact profile, you see a thread of conversations you've had and files you've exchanged. You can quickly find and view threads by specific topics; a slider control reveals more or fewer lines of the conversation.

     

    Xobni also creates a kind of social network by keeping track of any additional recipients on e-mail messages sent to you. You can add your friends' contacts to your address book or quickly draft e-mail to them from within Xobni. If you have Skype's VoIP service on your PC, Xobni integrates with it nicely; a quick tap of a phone number within a Xobni profile generates a SkypeOut call. Two template options also appear in this pane: One creates a blank e-mail, and the other creates a meeting request. For the latter, Xobni saves you time by autofilling the request with open time slots pulled from your Outlook Calendar.

     

    You can use Xobni for simple searches within Outlook, too, and it often returns results much more quickly than Outlook's search does. Xobni also goes far beyond speedy searching, providing logical social information and extended functionality that Outlook simply doesn't. Instead of treating mail conversations, contacts, and calendars as separate entities, Xobni weaves them together in a responsive, intuitive interface.

    The best search tool to organize your e-mail inbox is Lookeen!!

    It is especially for Outlook, but you can also search your whole desktop, external archives, public folders, sharepoints and more!! Beside this it is very small, so it doesn´t need much ressources and doesn´t slow your computer down!! It shows you the search results very clearly in categories like mails, attachment, appointment, adresses etc.

    I always find everything and since I work with Lookeen everything has a system!!

    I agree with David. Once you've found your e-mail software of choice and that would happen to be Outlook, Lookeen is an essential add-on to. Lookeen improves your searches in every matter, and improves working with Outlook much more. I've been using this software for about half a year now and I can totally recommend it.
